CLS is on the hook for Project Coordinators for our client in the Houma, La area. This individual will support multiple departments with the administrative workflow from project initiation through to close-out. They will be responsible for document control, management of project folders and associated Operations’ logs. They will also work with Business Development Managers during purchase order acceptance and work collaboratively with a team to ensure timely completion of job cards and trackers.




• Acting custodian of the Client Purchase Order log and associated Outlook account; recording incoming client purchase/call off orders and ensuring the process inputs and outputs are actioned and kept up to date daily

• Open new projects in Navision and create hard copy folders with requisite files, thereafter, updating the CRM system

• Enter the new project details into the projects and operations schedulers and financial forecast spreadsheet at time of project opening

• Preparation of Job Cards and Trackers at project opening – consolidating the quoted and purchased scope of supply whilst reviewing and checking values

• Ongoing collaborative work with PE’s and Finance to ensure timely updates and/or completion of Job Cards and Trackers as appropriate to project deliverables/scope and time

• Using one’s own initiative to update Job Cards and Trackers where the scope is known and fully understood, or when the scope increases whilst seeking assistance where necessary

• As and when requested, liaise with clients to obtain revised PO’s / Call-offs to cover retrospective quotations or variation orders

• Monthly assistance to line manager with project financial forecasting, and monthly report generation for onward submission to GM

• Liaise with PE’s to enable appropriate updating of the Projects Scheduler on a regular/weekly basis

• Filing of all hard copy and electronic information, in line with document control/convention including regular folder & file housekeeping

• Where necessary, to serve as a secondary check for review of PO’s against quotations/variation orders in terms of values and line items

• Provision of contract specific Document Control in support of the PE and project

• Undertake and manage document transmittals as required

• Audit project folders for project close out purposes

• Archive information as appropriate following project close out

• Take minutes of meetings and circulate same for review post meeting

• Book all GY related personal development training, using training needs analysis reports

• Provide competency admin support on behalf of site

• Provision of alternate cover for Offshore Operations and Procurement Admin during periods of holiday/absence

• Administer the Projects movements (holidays/business travel/absence) log daily

• Update Project Engineers weekly update forms with newly assigned projects

• Cover Reception duties as and when required

• Undertake any other reasonable requests from line manager




• High School Diploma, required

• 2+ years’ relevant experience in Project Coordinator/Project Admin type role

• Excellent organizational skills and attention to detail

• Ability to prioritize and negotiate workloads

• To work in a dynamic environment while controlling a multitude of tasks

• Communicate clearly and concisely with diverse audiences

• Good interpersonal skills for liaising with all stakeholders

• Practically minded and process driven
